POSITION SUMMARY:

The Program Administrative Specialist provides essential administrative and operational support across the multi-department Employment Service area within the Human Service division. This role plays a key part in ensuring the efficiency of administrative functions by assisting program staff, maintaining accurate
records, coordinating communications, and supporting compliance and reporting requirements. The ideal candidate is highly organized, detail-oriented, and committed to advancing the agency's mission of empowering individuals through workforce development services

Essential duties include, but are not limited to:

  • Provide direct administrative support to Employment Service leadership and workforce development programs/services.
  • Enter and modify program data in various databases as required by the division and contract(s).
  • Assist with the maintenance of accurate program files, records, and contractual documentation in compliance with funder and agency requirements
  • Uphold confidentiality and compliance with applicable privacy regulations (e.g., HIPAA, FERPA, etc. as relevant).
  • Aide and support departments with planning and logistics of program events, activities, and community outreach efforts.
  • Develop and maintain relationships with agency team members, external community providers, funders, and all other stakeholders to facilitate quality service delivery
  • Monitor programmatic progress across service area departments, ensuring accurate and timely reporting of outcomes.

External Hiring Rate: $20.75-20.87

Schedule: Monday - Friday standard business hours. Schedule can vary depending on department needs.

QUALIFICATIONS:

  • High School Diploma or Equivalent AND 6 years of experience required. OR
  • Associates' Degree AND 4 years of experience required. OR
  • Bachelors Degree AND 2 year of experience required. 

Required Experience: Experience working with at risk or vulnerable populations, data entry
and supporting administrative functions of multiple social service programs

Preferred Experience: Experience in workforce development programming with increasing responsibility

REQUIRED CLEARANCES, LICENSES, AND CERTIFICATIONS:

  •  Candidates are expected to provide current valid Child Abuse, PA PATCH, FBI CLEARANCE
