Supervisor Ops Food & Nutrition (Full Time) (Project Management)



Job Summary

Responsible for the successful operations of Food and Nutrition Services under the direction of the department's Director with focus on department-level financials and ensuring department cleanliness. In collaboration with Director, has oversight over department's financial analytics and reporting, ensuring timely and accurate submission of all reports to Finance. Acts as primary liaison with vendors to ensure timely and accurate invoice submission. In addition, oversees and coaches Utility Technicians in performing their assigned duties in the cleanliness of all department service wares and space following security, sanitation, safety, and infection control standards and procedures. Responsible for ensuring compliance with HACCP guidelines and regulatory standards such as DNV and FL-DOH. Responsible for database and maintenance of, and projects related to requisition and nourishment items. 

Job Specific Duties

  • Prepares accurate financial and/or statistical reports for internal and external users. Renders assistance to leaders in preparing and reviewing analytical data and systems. 
  • Analyzes data and statistics including staff productivity/hours/PTO days to identify trends and variances. Compiles overtime report by department area. 
  • Supports accounts receivable and accounts payable functions, reviews and validates invoices for accuracy, and communicates directly with vendors on corrections/credits required.
  • Submits PO's and contracts for approval and follows up on completion or renewal. 
  • Responsible for oversight of the day-to-day operations of the utility operations to ensure compliance with all regulatory agencies and safe food practices. Complies with federal, state, and local health and sanitation regulations and department sanitation procedures. Maintains and enforces clean and sanitary working environment.
  • Assists in recruiting, managing, training and developing department staff in a manner which builds and sustains a high performing team and minimizes turnover.
  • Completes performance and initial review of utility technicians. Evaluates, mentors and/or disciplines employees as applicable and according to hospital and departmental policy. 
  • Provides and establishes standards for exceptional customer service and provides training to meet expectations as measured by the inter-departmental survey results. Coaches and mentors department staff on customer service best practices. 
  • Conducts new employee orientation sessions and coordinates and develops on-the-job training for new hires to ensure appropriate training. Trains staff in customer service, proper safety, and sanitation. 
  • Maintains high standards of quality control, hygiene health and safety to ensure adherence to the organization's policies and procedures, departmental and regulatory agency standards.   
  • Conducts inventory and maintains necessary supplies to ensure efficiency of operation across all utility functions, including cleaning supplies. 
  • Responsible for department's temperature monitoring system (refrigeration) and dish machines, and validating temperature audits are completed as per procedures.
  • Responds to any unexpected emergencies to ensure the protection of any organizational assets. 
  • Collaborates with leaders and others to improve efficiencies and achieve the overall goal of the department and oversees implementation of utility services needs based upon medical direction, patient population, and contract. 
  • Conduct test tray audits according to leadership schedule and follows up with all action items within 24-hours.
  • Performs daily rounding of work areas to inspect Quality & Compliance practices. Audits the work of staff and Leads to ensure adherence to food safety and quality standards.
  • Assists leaders with special projects, analysis of data to support with strategic planning, growth and development efforts. Assists director with operational power point presentations. 
  • Assists with the preparation of the annual budget and tracks data monthly for comparison/changes. Assists with month end reconciliation and posting of cross charges.
  • Supports director with development of operational strategic analysis and department specific dashboards. 
  • Facilitates planning, organization and activities of the director to ensure efficient and effective workflow coordination. Prepares meeting minutes and other sensitive documents. 
  • Demonstrates consistent ownership attributes, provides high level of customer service, provides service recovery of any incident reported, and provides feedback of findings to update RL solution.

Minimum Job Requirements

  • Active ServSafe Certification SafeStaff certification required within 30 days of hire
  • 1-3 years' experience in food service and/or business operations
  • 1-3 years' experience in a supervisory role.

Knowledge, Skills, and Abilities

  • Associates degree preferred
  • Bilingual in English/Spanish preferred
  • Displays positive customer service, fosters employee relations, and assures staff adheres to the Customer Service Behavioral Standards
  • Demonstrates strong verbal communication skills allowing for effective communication with customers and employees
  • Proficient in Microsoft Word, Excel and Outlook email
  • Available to work flexible hours that may include early mornings, evenings, weekends, and/or holidays
  • Able to interpret, adapt to, and react calmly under stressful conditions
