Legal Support Assistant I/II - Probate (Finance)

RUHS-Behavioral Health is seeking a dependable and team-oriented Legal Support Assistant I/II (LSA) to provide critical administrative and legal support to the Public Guardian/Probate unit, ensuring compliance with California Probate Codes and other applicable laws. This position involves processing legal documentation related to probate conservatorship cases, preparing filings for court, and supporting staff with time-sensitive legal tasks. The LSA I/II must be able to respond promptly to urgent court appearances and provide backup support to the Lanterman-Petris-Short (LPS) and Investigations Unit as needed.
Key Responsibilities:

  • Prepare, process, and file legal documents for probate conservatorship cases in compliance with California Probate Code.
  • Upload legal documents and case files into the office's electronic case management system.
  • Generate, track, and maintain court receipts and proof of filing for all submitted documents.
  • Support Deputy Public Conservators with legal tasks, including scheduling court appearances, preparing exhibits, and ensuring documentation accuracy.
  • Respond to short-notice court hearings or urgent legal requests.
  • Provide backup support to the LPS and Investigation Unit's Legal Support Assistant during absences or high caseloads.
  • Maintain confidentiality and adhere to all legal and ethical standards related to conservatorship matters.
  • Communicate professionally with the court, attorneys, healthcare professionals, and family members of conservatees.
  • Perform clerical and administrative duties, including typing, formatting legal correspondence, and maintaining records.

" target="_blank" rel="noopener noreferrer" data-uw-rm-ext-link="">• Serve as secretarial and clerical support to attorneys and other County staff; schedule appointments, screen callers and initiate reply to routine correspondence.

• Provide the more responsible and authoritative information to law enforcement officers, attorneys, officers of the court, other staff, agencies, or the general public; train lower-level staff; interpret legal, procedural or department requisites from the record to the public, law enforcement agencies and/or attorneys; contact by phone, automated system or in person, judges, attorneys, court clerks, witnesses, medical representatives, and other County departments or government agencies in order to obtain or confirm information for case files, or to arrange medical appointments, depositions or hearings; prepare case files and maintain case status records including the posting of court actions and court dates to calendars.

• Maintain files of correspondence and legal documents, including a cross-reference index file; file legal papers with the proper courts; enter record of hearings in calendar; record pleas, trials, convictions, acquittals, sentences, judgments, orders, and other dispositions of cases.

• Type from drafts, rough notes, verbal instructions, or taped dictation a variety of correspondence and legal documents, including interviews, opinions, proceedings, ordinances, contracts, agreements, orders, motions, points and authorities, complaints, warrants, subpoenas, commitments, indictments, decisions, investigation requests, extraditions, affidavits, briefs, jury instructions, dismissal sheets, reports, appeals, writs, petitions for hearings, and other civil and criminal legal documents; may receive payments, issue receipts, turn in money and file fee receipts with the court.

• Prepare and process materials involving the use of complex source material and a thorough familiarity with the policies, procedures, legal terminology, and various applicable laws in order to obtain the necessary data; compare dictated legal references with actual reference materials to ensure that citations are accurate.

• Compile a variety of reports, locating sources of information and determining proper format for finished reports; convert general information into proper legal form; compose legal papers and complete legal documents for which general forms are available.To review which position you qualify for please click on the links provided below.

Salary Range: $20.94 - $33.56 Hourly

OPTION I

Education: Graduation from high school or equivalent (e.g., GED, high school proficiency certificate).

Experience: One year of clerical experience. (Completion of 18 semester or 27 quarter units from an accredited college or university in secretarial sciences, business education, or a closely related field may substitute for the clerical experience.)

OPTION II

Education: Graduation from high school or equivalent (e.g., GED, high school proficiency certificate).

Experience: One year of clerical experience. (Completion of 360 hours of training from a recognized occupational training program in secretarial sciences, business education or a closely related field may substitute for the clerical experience.)

Salary Range: $23.41 - $38.67 Hourly

OPTION I

Education: Graduation from high school or equivalent (e.g., GED, high school proficiency certificate).

Experience: Two years of clerical experience, including one year in specialized legal services preparing and processing a variety of legal documents in a legal environment. (Completion of 18 semester or 27 quarter units from an accredited college or university in secretarial sciences, business education or a closely related field may substitute for the non-specialized clerical experience.)

OPTION II

Education: Graduation from high school or equivalent (e.g., GED, high school proficiency certificate).

Experience: Two years of clerical experience, including one year in specialized legal services preparing and processing a variety of legal documents in a legal environment. (Completion of 360 hours of training from a recognized occupational training program in secretarial sciences, business education or a closely related field may substitute for the non-specialized clerical experience.)

OPTION III

Education: Graduation from high school or equivalent (e.g., GED, high school proficiency certificate).

Experience: One year as a Legal Support Assistant I with the County of Riverside.

ALL OPTIONS

Knowledge of: Legal terminology and legal clerical procedures, processes and the full range of standard legal documentation appropriate to the area of law supported by the position; legal procedures and practices involved in composing, processing, and filing legal documents and reports; standard legal references and their content; business English; proper formats for preparing correspondence, reports and a wide variety of legal documents; statistical and fiscal recordkeeping principles and application; proper telephone techniques; operating principles and application of modern office equipment, including word processing, computerized data systems, storage systems, and terminology.

Ability to: Exercise good judgment and initiative in the performance of complex legal clerical work; review legal documents and records for correctness of form, sufficiency of information and conformance with prescribed legal requirements; establish and maintain cooperative relationships with staff, the public and other agencies; independently carry out a variety of clerical activities related to assignments; explain to concerned parties the basic procedures of the judicial process as they relate to a variety of legal documents; spell correctly, construct grammatical sentences and make mathematical computations. Other Requirements

All candidates may be required to take a typing test prior to being considered for any Legal Support Assistant II position.

Skill to type 40 words per minute may be required.

License/Certificate: Possession of a valid California Driver's License may be required.

Bilingual Testing

The Human Resources Department will coordinate a Bilingual (Spanish) Non-Proctored Assessment.
