Staffing Coordinator, Part-time, 12 Hour PM (Finance)

The Staffing Coordinator is entrusted with the responsibility of overseeing and managing staffing needs across all inpatient care units. This includes coordinating resources, allocating available staff, and communicating with relevant departments to ensure appropriate staffing levels. The staffing coordinator will ensure timely documentation of staffing changes into the electronic scheduling system, including accurately recording same-day staff absences. The role requires proactive collaboration with nursing leadership to maintain operational efficiency.Education: High School Diploma or GED required, Associate degree preferred.

Experience: 2-3 years of experience in medical setting preferred, 1-2 yrs of scheduling experience (or equivalent) preferred

Required Skills and Knowledge:

  • Intermediate to advanced skills in Microsoft Office (Excel, Word, etc).
  • Detail oriented and an orientation to accuracy in reporting required.
  • Excellent communication and interpersonal skills.
  • High degree of professionalism and solid ability in delivering high quality customer service and establishing/maintaining effective and collaborative working relationships.
  • Team player with a proactive, positive attitude and a strong sense of self-motivation, accountability, and responsibility.
  • High degree of integrity while working with confidential information discreetly and appropriately.
  • Lead Scheduling Operations and Resource Allocation (35%)
    • Oversee and maintain the electronic scheduling system, ensuring it accurately represents shift staffing.
    • Delegate tasks related to shift coverage, including float pool assignments and agency placements following contractual agreements.
    • Ensure timely reporting of staffing changes, overtime, and cancellations.
    • Communicate and coordinate staffing updates relating to same-day absences, such as entering pay codes in the electronic schedule/payroll system.
  • Collaborate with Charge Nurses and Leadership (25%)
    • Communicate with charge nurses to validate staffing schedules.
    • Analyze census and collaborate with nursing leadership to ascertain acuity data to determine additional staffing needs and recommend actions.
    • Records all same-day absences timely and reports changes to appropriate nursing leaders.
    • Maintains accurate log of patients requiring patient monitors
  • Direct Staff Assignments and Adjustments (25%)
    • Strategically assign float, overtime, and agency staff in an equitable manner, while adhering to contract guidelines.
    • Allocate patient monitors to meet the specific needs of each unit and strategically deploy resources to address shortages when patient monitor coverage is insufficient.
    • Work closely with nursing supervisors to balance staffing needs across units.
    • Lead the process of staff cancellation as necessary, ensuring timely notifications.
  • Maintain Staffing Resource Readiness (15%)
    • Responsible for evaluating reported staffing gaps, determining if the gaps require coverage, and identifying appropriate resources to fill those needs
    • Conduct efforts to identify gaps and promptly address coverage needs.
