Events Coordinator (Project Management)



Job Description

Reporting directly to the Associate Director of Events, the Events Coordinator serves as a key contributor to the strategic recruitment and yield initiatives of the Undergraduate Admissions Office and broader Enrollment Management Division. This individual will plan, coordinate and execute a wide range of on-campus, off-campus and virtual events that engage prospective and admitted students and their families. A successful candidate will be highly detail-oriented, exceptionally organized, creative, collaborative and comfortable working in a fast-paced, dynamic environment. 

 

Key Responsibilities: 

  • Provide comprehensive support to the Associate Director of Events in planning and executing recruitment and yield events for Undergraduate Admissions, Financial Aid, Pre-College Programs and University-wide initiatives, including in-person on campus and off-campus regional events.  

  • With the Associate Director, manage all aspects of event logistics, including date and time selection, location booking, catering, AV/tech, accessibility, parking, vendor contracts, diagrams and onsite setup. 

  • Oversee the setup and management of events in the Slate CRM system, including building and managing event registration pages, maintaining event templates, scheduling and sending communications and monitoring registrations and attendance throughout the event lifecycle (pre-event, on-site and post-event). 

  • Assist in managing the full virtual event cycle, including pre-webinar planning, coordinating with all campus partners, execution of live webinars and post-event follow-up (surveys, recording, editing, post-event delivery of recordings to specific audiences) and troubleshoot issues as necessary. 

  • Co-lead inventory management for the events team as well as coordinate purchases of promotional event materials. 

  • In coordination with the Associate Director, develop a communications plan for each event as well as proofread event communications. 

  • Perform daily data entry into CRM system and Smartsheet projects. 

  • Build a strong partnership with the Sr. Campus Experience Coordinator, collaborating on events and tour guide projects while serving as their backup. 

  • In conjunction with the Associate Director, serve as a liaison to external vendors and campus partners (Catering, Residence Life, Student Life, Academics, etc.). 

  • Document event planning meetings and ensure task follow-through. 

  • Troubleshoot and problem-solve real-time issues during event execution. 

  • Contribute to continuous improvement in logistics and attendee experience. 

  • Provide high-quality customer service to prospective students, families and campus partners. 

 

 Qualifications and Requirements: 

  • Bachelor's degree in Marketing, Communications, Business, Project Management, Events Management or related field. 

  • 1 year of progressive event or project management experience, preferably in higher education. 

  • Demonstrated ability to quickly learn and adapt to new software systems; experience with Slate CRM is preferred. 

  • Strong attention to detail with the ability to manage multiple projects simultaneously. 

  • Excellent interpersonal and communication skills (written, verbal and digital). 

  • Ability to lift up to 50 lbs. and stand for extended periods. 

  • Flexibility to work evenings and weekends during peak recruitment periods. 

  • Creative thinker with the ability to develop innovative event solutions. 

  • Proven organizational, time management and problem-solving skills. 

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint). 

  • Strong student-centered mindset with a commitment to service excellence, sound judgment, and professionalism. 

  • Proven ability to collaborate across departments and contribute to improvements by asking thoughtful questions and enhancing processes.

Compensation Range

In compliance with the New Jersey Wage Transparency Act, the annual base salary range for this position is $47,600.00 - $63,466.67. This range represents the University's good faith estimate of possible compensation at the time of posting. Stevens Institute of Technology determines compensation based on factors including the position's scope and responsibilities, the candidate's experience, education, skills, internal equity, market data, and organizational considerations. The final salary will be set considering departmental budget, qualifications, and relevant credentials. This pay range represents base pay only and excludes additional forms of compensation, such as incentives, stipends, or other applicable pay components.
