Admin Asst - Internal (Finance)

Description:

This is an internal posting, only current UHV employees will be considered.

Serves as administrative assistant and manages office operations for a senior administrator.

1. Maintains administrator's calendar and coordinates travel arrangements; screens phone calls and visitors; arranges meetings; and interacts with administrators, faculty, and students.

2. Manages administrative office functions; provides work leadership to department support staff.

3. Compiles and prepares reports and correspondence for the administrator.

4. Manages financial accountability for the college/department, ensuring compliance with State and university guidelines.

5. Administers monthly reconciliation of departmental accounts and verification of financial data; generates monthly financial and budget reports.

6. Assists with development of the annual budget.

7. Administers human resource and payroll activities, and assists departmental staff with personnel issues.

8. Prepares purchase requisitions and vouchers, travel requests and vouchers, and other accounting forms.

9. Reconciles university credit card purchases, and prepares associated expense reports.

10. Assists the administrator with special projects.

11. Coordinates the office filing system.

12. Serves as department property custodian; monitors and completes annual inventory of capital assets.

13. Performs other job-related duties as assigned.

Minimum Qualifications: High School diploma or GED and (7) years secretarial and/or bookkeeping experience or equivalent combination of education and relevant experience; bachelor's degree preferred
