Program Manager, Facility Operations (Finance)



Department: Campus Recreation & Wellness Salary: Commensurate with education and experience.
Description:

The Program Manager, Facility Operations is a key member of the Campus Recreation leadership team, responsible for the daily operations of a 82,000 square foot facility. This includes direct supervision and leadership of a team of 30-45 student employees, equipment and facility inspections and maintenance, and facilitating employee development trainings related to safety, customer service, event management, and career readiness. This position is also responsible for rental and reservation event management and scheduling. The Program Manager provides direct supervision to a Graduate Assistant and plays an active role in supporting departmental goals.

Duties:
  • Staff Management and Supervision: Recruits, hires, trains, evaluates, schedules and supervises a team of 30 - 45 student employees who serve as Operations Managers, Facility Assistants and Special Event Managers. Approves time and labor payroll for all employees. Addresses performance problems directly, fairly, and timely.
  • Staff Training and Risk Management: Leads departmental efforts for student staff training in skills such as risk management, CPR/AED First Aid Courses, customer service, leadership development, and conflict resolution. Ensures compliance with local, state, and industry standards.
  • Rentals and Reservations: Oversees facility rentals ensuring all university processes are followed; creates contracts and quotes, schedules facilities and staff. Ensures a high standard of customer service for large scale special events, providing assistance throughout the planning and day of event operations. Evaluates feasibility of reservations on facility usage, impact vs revenue.
  • Facility Management: Conducts routine facility and equipment inspections; ensures cleanliness of facility, coordinates necessary maintenance or repairs with appropriate entities, and manages equipment inventory and supplies to support Informal Recreation.
  • Facility Management: Provides support during peak hours, special events, or emergency situations, ensuring seamless operations. Manages facility schedule and communication of holiday or special facility closures. Works evenings and weekends as needed or required.
  • Reporting and Documentation: Ensures proper reporting and follow-up of incidents and accidents. Maintains accurate records and reports related to facility usage, staff certifications and other relevant documents that assist with departmental assessment and annual reporting.
  • Customer Service: Implements strategies to improve member satisfaction, engagement and retention while ensuring compliance with university policies related to access control.
  • Fiscal Responsibilities: Maintains fiscal accountability for all operations staff labor expenses. Actively works to meet or exceed annual revenue projections. Provides budget projections annually. Develops creative solutions to manage budget.
  • Collaboration: Works collaboratively with UHCL and non-UHCL partners on programming that supports university initiatives and promotes health and wellbeing. Develops collaborative relationships to contribute to the facilitation, promotion and growth of recreational programs. Serves on university, divisional and departmental committees and performs related duties as assigned.

Required Qualifications:
  1. Bachelor's degree in Sports Management, Exercise Science, Higher Education or related field.
  2. Minimum three years of experience in recreation programs including operations, personnel supervision, or student development.
  3. CPR/First Aid/AED instructor certification with American Red Cross (or ability to obtain within six months, if hired).

Preferred Qualifications:
  • Master's Degree in Sports Management, Exercise Science, Higher Education or related field.
  • Three years of experience in collegiate recreation.

Knowledge, Skills and Abilities:
  • Knowledge of, or the ability to learn, university policies and procedures, and specific software.
  • Knowledge of various computer software needed to perform duties (Microsoft Office Suite, Innosoft Fusion).
  • Knowledge of fitness equipment use and preventative maintenance needs.
  • CPR/AED and First Aid Skills and the ability to develop emergency action plans for a recreation setting.
  • Skilled in equipment and facility inspections and quickly resolving and identifying solutions.
  • Able to build mutual trust, respect, and cooperation among team members.
  • Ability to identify the developmental needs of others to coach, mentor, instruct, etc.
  • Ability to communicate information clearly and accurately verbally and in writing.
  • Ability to analyze information and evaluate results to choose the best solution and solve problems.
