Purchasing/Regulatory Clerk (Administrative)



JOB DESCRIPTION

JOB TITLE: Purchasing / Regulatory Clerk EEO: Admin. Support
REPORTS: Buyer Pay Type: Indirect

SUMMARY: The role involves supporting the Buyer by meticulously compiling and maintaining records of business transactions while ensuring compliance with SQF, regulatory, and third-party documentation requirements. Additionally, this position includes overseeing and coordinating various office activities by performing a range of essential duties.

RESPONSIBILITIES:
Compile and document data, records, and reports.
Maintain information on the server to meet SQF, regulatory, and third-party requirements.
Utilize a computer terminal for data entry and retrieval.
Assist with the data entry of purchase orders as necessary.
Communicate with vendors regarding new purchase orders as required.
Review and update requisitions on the server.
Liaise with vendors to obtain product specifications, such as pack sizes and weights, for regulatory updates.
Address discrepancies with vendors concerning quantity, quality, pricing, or any other relevant issues.
Support the Buyer in researching new products and pricing.
Aid other departments as needed.

EDUCATION AND EXPERIENCE
To qualify for this position, candidates must have a high school diploma or GED, or possess one to three years of relevant experience and/or training, or an equivalent combination of both.
Candidates should be able to read and interpret essential documents, including Military Specifications, Product Specifications, Procedure Manuals, and Product Change Requests (PCRs). Proficiency in writing clear reports and correspondence is required.
A solid understanding of fundamental mathematics, including addition, subtraction, multiplication, and division with whole numbers, fractions, and decimals, is necessary.
Candidates must demonstrate logical reasoning to follow written, oral, or diagrammatic instructions and resolve problems involving multiple variables in standardized situations.
Effective communication skills and the ability to interact well with others are essential. Familiarity with current software packages is also required.

Employees must utilize proper lifting techniques, as they may be required to lift items weighing up to 25 pounds, such as files, and occasionally manage computer printouts.
This role may also entail exposure to manufacturing areas, where certain zones mandate the use of personal protective equipment.
The primary work environment consists of ambient room temperatures, adequate lighting, and standard office equipment typical of a conventional office setting.
