Starting Salary:

$45,000.00 - $55,000.00

PRIMARY FUNCTION OF THE POSITION

Under the supervision of the Office Manager, the Operations Coordinator will support daily logistics for the front office, transportation, attendance and other operational areas to help maintain a safe, friendly and professional school environment.

The Operations Coordinator must demonstrate a strong work ethic, have integrity, and is accountable to his/her actions. He/she will align himself/herself with NMAs core principles and understands the unique challenges of an immigrant and refugee community. A successful Operations Coordinator will also have experience in a high performing fast paced environment.

POSITION SPECIFICATIONS

School Operations & Logistics

Support daily school operations including arrival/dismissal, safety drills, and lunch procedures

Monitor and replenish inventory of supplies, uniforms, equipment, and forms

Manage delivery of materials, shipping, and mail handling

Assist in ensuring the building is clean, safe, and organized for staff and students

Help maintain accurate operational records and logs (e.g., visitor sign-in, maintenance, deliveries)

Student Information & Systems

Support data entry and accuracy in student information systems (e.g., attendance, enrollment)

Maintain and update rosters, schedules, and directories in coordination with leadership

Assist with new student onboarding packets and withdrawal documentation

Transportation & Meal Coordination

Coordinate student transportation systems including bus schedules, rider lists, and communication

Serve as a liaison between families and transportation vendors to resolve issues

Track and report meal participation and assist with free/reduced meal applications

Oversee all transportation requests including field trips, after school, sports, summer school, and special events.

Ensure all buses meet DOT requirements including routine inspections, tab renewals, security and safety requirements and bus repair/issues

Develop standards of maintenance and preventative maintenance plan

Maintain all necessary documentation of vehicles.

Support NMAs transportation service to other schools/organizations.

Coordinate annual bus safety training for all students and new scholars

Respond to and investigate accidents involving NMA vehicles and student transportation

Obtain/Renew CDL license, as required

Respond as the first back up driver

Event & Space Coordination

Provide logistical support for school events, professional development days, and family nights

Set up spaces, signage, and materials needed for school-wide events or meetings

Manage reservation and scheduling of shared spaces, including conference and multi-purpose rooms

Communication & Support

Communicate effectively with staff, students, and families regarding operational matters

Support front office as needed, including phones, student needs, and visitor check-in

Maintain professionalism, responsiveness, and confidentiality in all interactions

Requirements

Critical thinking skills and knowledge of analytics

Excellent communication and organizational skills

2+ years of transportation experience in a K-12 environment.

Ability to speak English and Hmong fluently highly preferred

Experience with applications and software such as Google Suite and Infinite Campus (NMA Student Information System).

Proven ability to multitask and work under pressure

CDL License (Class B with school bus endorsement)
