Board Relations Assistant (Finance)



About the Role:

The Board Relations Assistant Provides high-level administrative support to the Board Relations Department and executive leadership. Responsible for coordinating meetings, managing travel, preparing expense reports, maintaining records, and supporting board communication and events with professionalism and discretion.

Salary:

Annual salary rate begins at $66,079. Mid range at $84,251. Actual starting rate will be commensurate with experience and education.

Minimum Qualifications:

  • Education: High school diploma or GED required.
  • Licenses/Certifications: None required.
  • Experience: Minimum of three years in an administrative role supporting executive/senior-level leadership.
  • Other Required Skills/Knowledge: Strong communication, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications:
  • Associate's or Bachelor's degree.
  • Bilingual (Spanish preferred).
  • Experience with board relations, governance support, or high-level executive administration.
  • Familiarity with databases like Access.
Responsibilities:
    • Provide administrative support to the Board Relations Department and executive leadership team.
    • Coordinate calendars, schedule meetings, arrange travel, and manage catering and logistics for in-person and virtual meetings/events.
    • Prepare and process financial documentation such as expense reports and check requests.
    • Maintain board member records, contact lists, rosters, and onboarding materials.
    • Support special events such as the board advance and Community Council meetings, including potential travel.
    • Organize and archive board-related documents in compliance with retention policies.
    • Serve as a point of contact for board members in the absence of Board Liaison and Assistant.
    • Record and transcribe meeting minutes as needed, following professional standards.
    • Procure and track department supplies and office inventory.
    • Handle sensitive information and maintain a professional, composed demeanor under pressure.

The Board Relations Assistant demonstrates strong interpersonal and communication skills, with discretion and professionalism in handling confidential information. They are highly organized, skilled in time management, and capable of working both independently and collaboratively as part of a team. With sound judgment and problem-solving abilities, they adapt flexibly to shifting priorities while maintaining effectiveness. Fluent in English, with Spanish bilingual skills preferred, they bring added value in diverse settings. Technologically, they are proficient in Microsoft Office Suite, Adobe Acrobat Pro, Concur for expense reporting, and internet research tools, with preferred knowledge of databases such as Access.
