Office Manager (Finance)



Responsible for the programmatic, managerial, clinical and administrative oversight of the Department of Pediatric Infectious Diseases. Acts as Division Administrator for grants, contracts and other funding streams. Manages fiscal and programmatic reporting functions for all grants and contracts. This position requires advance management skills and other administration and monitoring of university -based projects experience. Coordinates all clinical and administrative components for Pediatric Infectious Diseases Division. Coordinates programs related to Division operational policies and procedures. Manages all aspects of grant administration and compliance. Is responsible for planning and coordinating budgets, grants, and protocols. Supervises and manages administration and clinical staff. The position requires skills in planning, budgeting, and evaluating divisional projects. This position requires effective oral and written communication skills.This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.Working at USF

  • Establishes and maintains the day to day Division operations related to patient care, grants and contracts. With the Division Chief, develops the divisional budget and oversees the monitoring of the expenditures for the Division. Supervises, trains and evaluates the clinical and administrative staff within the Division. Serves as senior supervisor for administrative and clinical staff. Assists in the selection and interview process of new hire candidates. Develops and manages schedules and work activities of support staff and delegates assignments to administrative staff. Arranges and coordinates travel for division staff, faculty, and incoming guests and speakers. Fulfills administrative requirements related to grants and contracts. Prepares grant budgets. Fulfills purchasing requirements including entering information into university system, receiving purchase orders, maintaining P-Card information and reconciling purchases.

  • Responsible for liaison activities among functional areas and other departments especially Departmental Administration along with the Division Chief. Develops and manages the divisional standard operating procedure manual as well as the divisional policies and procedures. Develops, manages, and distributes forms, informational sheets, and other materials to facilitate Divisional programs and procedures. Prepares and provides training and in-services for faculty and staff in the Division as appropriate. Evaluates divisional programs and implements changes to ensure efficiency of the Division.

  • Develops and implements quality management programs within the division. Monitors physician metrics and seeks opportunities for growth within the clinical setting. Assist the Division faculty in establishing outpatient and inpatient coverage schedules. Composes and prepares written documents and correspondence for the office, including memos, letters, presentations and spreadsheets. May prepare brochures or web site content for communication within USF and or external audiences.
