Accounts Payable Coordinator (Administrative)



Position Summary
The Accounts Payable Coordinator is responsible for managing the day-to-day accounts payable functions to ensure accurate, timely, and efficient processing of vendor invoices, expense reimbursements, and payments. This role supports the financial operations of Goodwill by maintaining strong vendor relationships, upholding internal controls, and ensuring compliance with organizational and departmental policy.
Essential Duties(Other duties within the scope of this position may be assigned.)
1. Supports and participates in the full payables cycle, ensuring compliance with the departments policies and procedures.

2. Processes invoices and other requests for payment in a timely manner. Verifies invoices received contain proper support and are submitted through the appropriate approval workflow channels. Verifies coding on voucher documentation is to the appropriate departmental/GL expense by understanding the chart of accounts and organizational structure.

3. Ensures timely payment of vendor invoices working with Accounting Leadership for payment batch reviews and issues. Ensures payments are currently processed both with manual checks and ACH batches.

4. Obtains signatures as appropriate for payments and other documentation. Mails and submits payments with documentation as required.

5. Maintains and updates vendor external portal information for utility and other vendors across multiple localities. Includes tracking of monthly invoices to ensure that expenses are recorded timely.

6. Monitors and implements Auto-Pay for applicable vendor accounts.

7. Alerts and communicates frequently with accounting leadership of payment issues and priorities, including items related to positive pay and vendor check inquiries.

8. Assists in resolving payment inquiries from internal customers and external vendors. Troubleshoots/ reconciles vendor statements, communicating directly with vendor for discrepancies and additional information.

9. Provides for maintenance of vendor records, requesting from vendors needed documents (W-9, etc), verification of payment method with vendor, address/name corrections, and contact information.
Supports month-end closing activities by preparing accruals, reconciliations, and reports as needed.

10. Assists Accounting Leadership in the creation, implementation, and maintenance of processes specific to position. This includes audit preparation workpapers, reconciliations and reporting key performance metrics as assigned.

11. Supports annual 1099 reporting and filing.

12. Assists in the storage and maintenance of accounting department records digitally or in office and storage area.

13. Provides support for Accounts Receivable functions when needed for coverage.
Supervisory Responsibilities
The associate in this position does not have any supervisory responsibilities.
Education/Experience/Certificates/Security Clearance
High School Diploma or GED required.
1-3 Years' experience in a related field required.
No professional certifications are required for this position.
The associate is not required to drive as part of their job duties.
Associates in this position will be required to successfully pass a criminal background check and sex offender check.
Ability to operate PC and databases, proficiency with Microsoft Office Suite including Word, Excel, and PowerPoint and knowledge of accounting systems, required.
